Start with the business problem, not the tool

Most businesses don't need more AI tools. They need a clear view of where AI fits, what it will cost and how to switch it on without creating new risk.

Copilot licences sitting unused, automations only one person understands, staff pasting client data into free chatbots. We see it every week. AI adoption goes wrong when it starts with a product demo instead of a plan.

Premier Tech takes the same approach we use across all of our IT services: analyse, stabilise, strategise. We make sure your data, security and Microsoft 365 environment are ready, then prioritise the opportunities that give you the best return for the least disruption.

Stage 1 · Prepare

Make your environment AI-ready

AI tools like Microsoft 365 Copilot can see everything your staff can see. If permissions are loose or your files are scattered, AI will surface that fast. Preparation is how you avoid that.

  • Data and permissions review across SharePoint, OneDrive and Teams to find oversharing before AI does
  • Security baseline covering identity, MFA, conditional access and data loss prevention
  • Licensing and platform check so you only pay for Copilot and Power Platform where it adds value
  • AI acceptable use policy so staff know which tools are approved and what data they can use
  • Shadow AI discovery to see which AI apps are already in use across your business

Quick AI readiness check

Answer six questions to see where you're likely to start.

Is your company data mostly stored in Microsoft 365 (SharePoint, OneDrive, Teams)?
Have file and folder permissions been reviewed in the last 12 months?
Is MFA enforced for every staff account?
Do you have a written policy on which AI tools staff can use?
Can you name three manual, repetitive tasks that frustrate your team?
Is there someone in leadership who will sponsor the change?
Your result will appear here Answer all six questions to see a suggested starting point.
Stage 2 · Strategise

A roadmap tied to real outcomes

Your Premier Tech Virtual CIO runs discovery workshops with your leadership and the people who do the work. We map how time is actually spent, then score every idea on value, effort and risk.

If the numbers don't stack up, we'll tell you before you spend anything on implementation. The goal is AI that pays for itself, not AI for the sake of it.

  • Workflow mapping with each department
  • Use-case scoring on value, effort, risk and data readiness
  • Build, buy or configure recommendations, vendor-neutral
  • Budget, ROI estimates and success measures agreed up front

AI opportunity register

Every idea captured, scored and ranked so decisions are transparent.

12-month roadmap

What to do first, what follows, and what it depends on.

Business case

Costs, expected hours returned and how we'll measure success.

Governance framework

Policy, roles and guardrails sized for your organisation.

Stage 3 · Quick wins

The low-hanging fruit

Quick wins build confidence and fund the next step. Most use tools you already pay for in Microsoft 365, so they're fast to deliver and low risk.

Meeting summaries and actions

Copilot in Teams writes the notes, captures decisions and assigns follow-ups, so nobody leaves a meeting unsure of next steps.

Invoice and receipt capture

AI reads supplier invoices from a shared mailbox, extracts the details and queues them for approval in your finance system.

Approval workflows

Replace email chains for leave, purchases and expenses with Power Automate approvals in Teams, complete with an audit trail.

Onboarding and offboarding

One form triggers account creation, licences, groups, devices and welcome emails, and reverses it all securely on exit.

Policy and procedure assistant

A Copilot agent trained on your own handbooks answers staff questions instantly and points to the source document.

Email triage and draft replies

Shared inboxes are sorted, tagged and routed automatically, with suggested replies your team can check and send.

Automated month-end reports

Data pulled from your systems into a scheduled Power BI report, with an AI-written summary of what changed and why.

Stage 4 · Wider projects

Bigger projects that change how you operate

Once the foundations are in place and quick wins have proven the value, we take on the larger, cross-department projects that deliver lasting advantage.

End-to-end process automation

Redesign whole workflows across teams and systems, with AI handling judgement steps and people handling exceptions.

Example: order to invoice, job booking to completion, client intake to engagement.

Custom business apps

Power Apps built around the way your team works, replacing spreadsheets and paper forms with secure, mobile-friendly apps.

Example: site inspections, asset registers, venue checklists.

Data platform and reporting

Bring data from finance, CRM and operations together so leadership gets one trusted view, and AI has clean data to work with.

Example: Power BI dashboards, Microsoft Fabric, data quality clean-up.

AI agents

Agents that complete multi-step tasks on your behalf, such as preparing client briefs, reconciling data or handling first-line support.

Example: Copilot Studio agents connected to your systems.

Intelligent document processing

Extract, classify and file large volumes of contracts, forms and correspondence with human review where it matters.

Example: contract review, compliance records, claims processing.

System integration

Connect the platforms that don't talk to each other so data flows once, accurately, without manual copying.

Example: CRM to finance, booking platforms to Microsoft 365.

Stage 5 · Embed & govern

Adopted, measured and secure

Tools only deliver value when people use them. And AI is only safe when it's governed like the rest of your IT. Our cyber security and managed services teams keep both on track.

Training that sticks

Role-based sessions, prompt guides and champions in each team so new habits form quickly.

Measured results

Usage and hours-returned reported alongside your monthly Executive Report.

Security and compliance

Sensitivity labels, DLP and monitoring aligned to your cyber framework and SMB1001 posture.

Continuous improvement

Your vCIO reviews the roadmap each quarter and adds new opportunities as they emerge.

Common questions about AI adoption

We don't have anyone internally to run this. Can we still adopt AI?

Yes. Your Premier Tech Virtual CIO leads the program and our engineers handle the technical work. We work alongside whoever owns technology decisions in your business, whether that's a CFO, operations manager or internal IT team.

Is our data safe if we use AI tools?

It can be, with the right preparation. We review permissions, apply sensitivity labels and data loss prevention, and only recommend tools that keep your data within your Microsoft 365 tenancy or meet your compliance requirements.

Should we just buy Microsoft 365 Copilot for everyone?

Usually not straight away. We recommend starting with the roles that will benefit most, measuring the results, and expanding from there. Many quick wins use Power Automate and features you already own at no extra licence cost.

How quickly will we see results?

Most quick wins are live within two to six weeks of the roadmap being agreed. Wider projects typically run over one to three months depending on scope and integrations.

We tried AI tools before and nobody used them. What's different?

Low adoption is almost always a change management problem, not a technology one. Training, team champions and measured results are built into every Premier Tech engagement from the start.

Do you support internal IT teams?

Absolutely. We regularly co-deliver with internal IT, providing strategy, specialist Power Platform and security skills, or extra capacity while your team stays in control.
